Vaccines for Children (VFC) participants can access the “Shots Recorded Report” that provides a list of vaccinations recorded corresponding to the VFC PIN. This report used on an ongoing basis can assist in ensuring that VFC vaccines are accounted for in Florida SHOTS and avoid inventory discrepancies. Annual User Confirmation
To increase security and only allow authorized users to access Florida SHOTS, Local Organization Administrators (LOAs) will need to confirm users within their organization each year. Seven days prior to the user confirmation period starting, an alert will be displayed when the LOA logs in to Florida SHOTS and the LOAs will also receive an email notification the day before. LOAs will have a 90-day period to complete the confirmation within Florida SHOTS. Users that are not confirmed will no longer have access to Florida SHOTS. Providers Authorized to certify the Form DH 680
Healthcare providers can create a certified Certificate of Immunization (DH Form 680) in Florida SHOTS. The form is legal and valid in the state of Florida for admittance to schools and daycare facilities. The algorithms set to complete the form are in accordance with the Florida statutes which determine who can certify each part of the Form 680 based on the medical license defined under in the statutes themselves. 2025-2026 Flu Pre-Booking
Providers participating with the Vaccines for Children (VFC) or Vaccines for Adults (VFA) Program can now pre-book their flu vaccines within Florida SHOTS. Only the enrolled provider, primary or back-up VFC coordinator can complete the pre-booking. We recommend you review your administration data from the current flu season to determine the number of doses to pre-book for 2025-2026. Find step-by-step instructions on how to pre-book. Preventing Duplicate Patient Records
Did you know there are a few things you can do to prevent duplicate records from ever being created? Providing full names, up-to-date addresses, and completing as many fields as possible allows Florida SHOTS to cross-reference information and update existing records. Also, remember to click on “Release Patient Record” when you’re finished with the patient record to prevent locked records and uploading errors.
Adding Observations and Adverse Events
Florida SHOTS uses “Observations” to document contraindications and precautions to receiving certain vaccinations. An observation is also required to be recorded in the system in order to issue a vaccine exemption - Part C on a DH680 form. Additionally, users can add risk factors as observations to indicate non-routine administration of vaccines. When recorded, these observations will influence patient immunization schedules, forecasting, and Reminder/Recall reports.
