Having Login Issues?

Each organization has at least one user designated as the Local Organization Administrator (LOA) to maintain their Personnel List. This includes resetting passwords, activating and unlocking other user accounts within the organization. If you don’t know who your LOA is, select the “Customer Service” Florida SHOTS menu option then click “Contacts.”  The name and contact information will be displayed, and can reach out for future login issues.  The Florida SHOTS help desk is also available for login assistance and can be reached at 877-888-7468, option 2.

Responsabilidades de los Administradores Locales de la Organización Comience el año nuevo revisando su Lista de Personal Cada organización inscrita con Florida SHOTS tiene por lo menos un usuario designado como Administrador Local de la Organización (LOA por siglas en ingles) para mantener la cuenta. Los LOAs son responsables por mantener la Lista de Personal precisa y actualizada e incluye agregar cuenta de usuarios nuevos y restablecer contraseñas.  También son responsables para asegurarse que esos usuarios autorizados tengan acceso a Florida SHOTS – incluyendo a finalizar al personal que ya no tiene asociación con la organización. ¡Aprende Mas! Usuarios nuevos que no se ingresen dentro de tres días de cuando su cuenta es creada automáticamente serán inactivados.  Además, los usuarios existentes que no se ingresen en un periodo de 60-dias y los que no son confirmados al final del periodo de la Confirmación de Usuario de la Organización serán automáticamente inactivados. El Administrador Local de la Organización tendrá que activar la cuenta para continuar con acceso. Local Organization Administrator Duties Refresh Your Personnel List for the New Year Each organization enrolled with Florida SHOTS has at least one user designated as a Local Organization Administrator (LOA) to manage their account. LOAs are responsible for maintaining an accurate and current Personnel List, including adding new users and unlocking passwords. They’re also responsible for making sure that only authorized users have access to Florida SHOTS—including removing personnel who leave the practice. Need help with these responsibilities? Annual User Confirmation

Organizations are responsible for ensuring that only authorized personnel have access to Florida SHOTS. In an effort to maintain a secure site, organizations will have an annual User Confirmation period. Local Organization Administrators (LOA) will have a 90-day period to confirm all the users that need to continue with access. Users who are not confirmed at the end of the confirmation period will have their accounts automatically inactivated.You can find step-by-step instructions on completing the user confirmation HERE. Florida SHOTS Data Quality Keep Your Data Complete, Current, and Correct Did you know that uploading incorrect or outdated CVX, MVX and VIS codes from your electronic health records (EHR) can result in vaccines getting rejected and not transferring to patient records? Especially during flu season, with new vaccine types and codes, make sure to check your EHR Immunization Table and update your codes! Vaccine Information Statements (VIS) dates: These are the most up-to-date CDC patient vaccine information forms. We also have staff who can help you check your data uploads for errors and warnings! Tech Tips "As a Local Organization Administrator (LOA), what do I need to do if an employee and Florida SHOTS user leaves our practice?" LOAs are responsible for maintaining an accurate and current Personnel List, including adding new users and unlocking passwords. They’re also responsible for making sure that only authorized users have access to Florida SHOTS—including removing personnel who leave the practice. This can be done by opening personnel records and entering an “end date” to remove former employee access to the registry through your organization. Don’t Forget to Check Your Codes!

Providers that electronically upload their vaccine data need to ensure their EHR’s immunization table has the correct CVX, MVX and VIS codes. Having incorrect codes can result in vaccine messages getting rejected and not transferring to the patient records. Make sure to regularly review and update to ensure you have the correct codes.
