All accounts are given access to the system only after we have verified that they have appropriate licensing in the state of Florida. Protected & Secure Did You Know? New users who do not log in within three days of their account being created will be automatically inactivated. Additionally, existing users who don’t login during a 30-day period and those who are not confirmed at the end of the Organization’s User Confirmation period will also be automatically inactivated. The Local Organization Administrator will need to activate the account to continue with access. Tech Tips "As a Local Organization Administrator (LOA), what do I need to do if an employee and Florida SHOTS user leaves our practice?" LOAs are responsible for maintaining an accurate and current Personnel List, including adding new users and unlocking passwords. They’re also responsible for making sure that only authorized users have access to Florida SHOTS—including removing personnel who leave the practice. This can be done by opening personnel records and entering an “end date” to remove former employee access to the registry through your organization. To learn more about these responsibilities see our LOA guide.

Providers that electronically upload their vaccine data need to ensure their EHR’s immunization table has the correct CVX, MVX and VIS codes. Having incorrect codes can result in vaccine messages getting rejected and not transferring to the patient records. Make sure to regularly review and update to ensure you have the correct codes. See here for important links: 1. CVX code table: Immunization codes sent by your EHR to FLSHOTS. 2. MVX code table: Vaccine manufacturers table. 3. Local Organization Administrator (LOA), Security

Annual User Confirmation

To increase security and only allow authorized users to access Florida SHOTS, Local Organization Administrators (LOAs) will need to confirm users within their organization each year. Seven days prior to the user confirmation period starting, an alert will be displayed when the LOA logs in to Florida SHOTS and the LOAs will also receive an email notification the day before. LOAs will have a 90-day period to complete the confirmation within Florida SHOTS. Users that are not confirmed will no longer have access to Florida SHOTS. See step-by-step instructions for the User Confirmation process in our short video or this quick guide.
