Florida SHOTS Summer Sessions

School may be out, but we’re continuing to offer live training webinars throughout the summer months to help you stay on top of your VFC inventory and beat the “back-to-school rush.” In June, we will focus on “Returning Expired/Wasted VFC Vaccines” to review the process for reporting wasted and returned VFC vaccines (including expired flu) within Florida SHOTS.

And, as always, we will host our monthly “New User and Refresher Overview” webinar for new users or those who need a refresher and “Data Quality Reports” for data upload participants to ensure that your vaccine records are uploading successfully.

Florida SHOTS Live Webinars: Reports Overview

We are offering live training sessions throughout the month of April covering several useful reports available within Florida SHOTS. These include the Vaccine Utilization Report, which shows vaccines administered within a specified date range, the Patient Status Report, which lists all patients who have your organization as the Current Immunization Provider (CIP), and Reminder/Recall for increasing vaccine coverage among your patients. Upload Data Quality Report Now Available!

A new tool is now available in Florida SHOTS to help data upload participants monitor and track uploads to prevent errors and rejections. Users with access to the “System Transaction” menu will see the new “Upload Data Quality Report.” This report will allow users to select a date range and generate a spreadsheet with all the errors and warnings from that time period. The “Upload Data Quality Report” is an easy-to-use option to review data quality and will help practices quickly identify any problems and make the necessary corrections.

The county health department (CHD) sessions, “Florida SHOTS 101: Basics for CHDs” will cover the basics of navigating Florida SHOTS for CHD staff. These include: logging in, password retrieval, searching for patients, handling duplicate records, adding new patients, and using the “Immunization Status” and “Vaccination” pages. Can’t Find a Vaccine Record that Was Uploaded?

If your office participates in data upload with Florida SHOTS and you can’t find an uploaded vaccine record, check your transaction statistics. When logged into the registry, click on “System Transactions” and then “Transaction Statistics” from the menu. You’ll be able to see all shots uploaded as well as any errors, rejections, and warnings. Checking your transaction stats also ensures your office is current in your data uploads.
